Who we are and how to reach us
Skivani is a tour operator based at Shop 400, Westfield Chermside, Cnr Gympie and Hamilton Roads, Chermside QLD 4032. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988, and where a traveller is resident in the European Union we also follow the General Data Protection Regulation for that person's data.
If you have a question about this policy, want to see what we hold about you, or want something corrected, email us at skivani@hotmail.com or call +61 7 4829 1376. We aim to reply within five business days.
What we collect and when
We only ask for what we need to run a tour or answer a question. Most of it comes from you directly, through the booking form, an email, or a phone call to the shop.
- Contact details: name, email address, mobile number, and where relevant your home suburb or hotel address for pickup.
- Booking details: the tour you chose, the date, the number of people travelling, and any dietary or accessibility notes you give us.
- Payment records: the amount charged, the date, and the last four digits of the card. Full card numbers are processed by our payment provider and never stored on our systems.
- Correspondence: emails, messages and notes from phone calls, kept so we can follow up on a complaint or a special request.
- Website data: pages viewed, approximate location from your IP address, browser type and device, collected through cookies described in our Cookie Policy.
Why we hold it
We use your information to confirm and run your booking, to contact you if a departure changes, to process refunds, and to keep the accounting records the ATO expects us to hold. With your consent, we also send occasional emails about new tours and seasonal dates. You can unsubscribe from those at any time using the link at the bottom of every email, or by replying and asking us to stop.
We do not sell personal information, and we do not share it with advertising networks for profiling. If you ask us a question about a specific tour, we use your details only to answer it.
Who we share it with
We share the minimum needed with the businesses that help us run the day:
- Payment processing providers, so card payments can clear.
- Coach and charter operators, for pickup lists and passenger manifests.
- Activity providers at the destination, where a supplier needs a name list for entry or safety briefings.
- Our accountant and booking software provider, both bound by confidentiality obligations.
- Police, emergency services or a regulator, where the law requires it or someone's safety is at risk.
Your rights and choices
You can ask for a copy of the personal information we hold about you, ask us to correct anything wrong, or ask us to delete what we are not required by law to keep. We will action a deletion request unless we still need the record for tax, insurance or an open complaint.
- Access and correction requests are free and answered within 30 days.
- You can opt out of marketing email at any time.
- You can ask us to restrict how we use your data while a correction is being checked.
- If you think we have handled your information badly, contact us first. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner.
How long we keep it and how we protect it
Booking and payment records are kept for seven years to satisfy Australian tax requirements. Marketing lists are kept until you unsubscribe. Enquiry emails that never turn into a booking are cleared out after two years.
Access to booking records is limited to staff who need it, protected by individual logins and two-factor authentication. Paper pickup sheets are shredded once the tour has run. No system is perfectly secure, but if a breach occurs that is likely to cause serious harm, we will notify affected people and the OAIC as required.
